· In order to book an activity, each client must complete and sign our booking agreement/proposal. 

· The proposal will be created and forwarded based on your indications early in the planning process. 

· At that point, based on your selections, we will prepare a preliminary invoice.  A deposit of 80% of the estimated cost of any program is due at that time or at least 30 days prior to the arrival of the group. 

· The balance will due within 30 days after receipt of the final invoice, which will be prepared with any changes and presented after the program after all vendor bills have been received.  A finance charge of 1% of the total amount will be charged each month after the due date. 

· Please ad a 3% service charge for credit card payments. 

· For activities requiring non-refundable deposits, payments equal to the amount of the non-refundable deposit will be due at the time of the booking.

· It is important to note that final counts or guaranteed number of participants are required anywhere from two weeks to thirty days prior to any specific event or activity. 

· Every effort will be made to adjust for any last minute changes, but may not be possible and final billing may reflect the original guaranteed number. 

· Many tours and activities have minimums (number of participants required to operate an activity).  If total number of individuals electing to participate in a given activity falls below these minimums, the bill will reflect the minimum amount.

· Detailed ‘Event Profiles’ will be created for each activity including the information about where to meet, when to meet, what to bring, what to expect, etc., and the date the guaranteed counts are due, will be indicated here as well as a place for you to sign off .

Per Marriott Frenchman’s Reef Resorts and Resort Adventure Centers, Inc., risk management, group members may be required to sign a release form depending on the tours they are participating in.

· Rates do not include any transportation charges that may be required. 

· Many activities depart from the Frenchman’s Reef Dock eliminating this issue.

· We will indicate where transportation costs are extra in our booking agreement/proposal. 

· Rates and tours are subject to change without notice.

Booked events require anywhere from two weeks to thirty days notice of cancellation to qualify for refund of the deposit.  Admission tickets to Coral World Marine Park and the Paradise Point Skyride are non-refundable.

Adventure Center Tours St. Thomas

The concept of risk management has been an operational priority with the Adventure Center from the beginning and has resulted in an accident free record to date.   Our original business, Underwater Safaris, Inc., provides snorkeling and scuba diving activities for cruise ship passengers and resort guests and has been employing these policies for over twenty years without one single incident.  Of all our accomplishments, it is of this that we are the most proud.

 

Risk management as it applies to these recreational activities means anticipating problems in advance and eliminating any procedures that may allow something to go wrong, conducting periodic reviews of operations, having a constant eye towards safety and making sure that the best possible insurance coverage is in place at all times from all affiliated tour operators as well as our own. Monitoring the condition of the vessels, vehicles and equipment of our sub contractors is also an essential element of our risk management program in addition to verifying business licenses, captains’ licenses, etc.  Our comprehensive drug use and abuse policy of testing and providing drug use and abuse education to all crewmembers on our vessels is a major ingredient in our efforts to minimize the risks of these activities.  We are the only operator we know of that insists on this scope of a drug testing program, and even though it costs significantly to do so, we feel the extra margin of safety it affords, is well worth the effort and expense.
